Ready to streamline systems, manage moving parts, and work directly with the CEO - without the 9-5? We are WLDM, an SEO and AI agency working with Enterprise clients globally. As the business continues to scale, we’re looking for a highly capable Executive Assistant to the CEO who can bring order to complexity, keep multiple teams moving, and operate confidently in a fast-changing environment. This is a hands-on role supporting a founder who moves quickly, travels frequently, and is deeply involved in the details. You’ll need to be comfortable with shifting priorities, close oversight, and direct feedback - and still deliver consistently.

The Role

This is not a passive admin role. You will act as the central coordination point across the business, supporting the CEO and project managing execution across finance, marketing, HR and SEO teams. Your responsibilities will include:

• Managing the CEO’s calendar, inbox, scheduling, and travel (including periods of irregular hours when travelling)
• Tracking priorities, decisions, and follow-ups across finance, marketing, SEO, and operations
• Project managing internal workflows to ensure teams are aligned, deadlines are met, and nothing slips
• Coordinating with contractors, agencies, and internal team members to keep work moving
• Preparing agendas, documenting actions, and following up relentlessly
• Supporting new hire onboarding and contractor coordination
• Drafting and organising internal and external communications
• Creating structure - and maintaining it

This role suits someone who can hold many threads at once, work under close direction, and still think independently about what needs to happen next.

Working Style & Expectations

• Part-time to start (approx. 5-10 hours per week)
• Hours must be flexible, particularly when the CEO is travelling
• Hybrid role: 4 hours per week onsite with the CEO
• Located in or near Byron Bay (office is 10 minutes from Mullumbimby), with remote work the rest of the time

You’ll be working with a CEO who is highly involved in day-to-day decisions, expects responsiveness, and values momentum over perfection.
