Service Administration/Warranty Clerk - Automotive

Von Bibra Auto Group Robina is seeking a motivated and detail-oriented Service Administration/Warranty Clerk to join our Service Department. This is an excellent opportunity for someone with strong administration skills, a positive attitude, and a willingness to learn warranty processes within a busy dealership environment.
Working alongside our Service team, you will support the preparation and administration of warranty claims while also assisting with customer service and general department administration.
About the Role
As the Service Administration/Warranty Clerk, you will play an important role in ensuring warranty claims are processed accurately and efficiently. You will work closely with Service Advisors, Technicians, Workshop Foremen, Accounts, and manufacturer representatives to support the dealership's warranty administration processes.
This position is ideal for someone who enjoys administration, is highly organised, and takes pride in accuracy and customer service.
Key Responsibilities
Assist with the preparation and submission of warranty claims
Review warranty documentation and ensure claims meet manufacturer requirements
Follow up on returned, rejected, or outstanding warranty claims
Maintain accurate warranty records and supporting documentation
Assist with warranty parts tracking, storage, returns, and disposal processes
Support warranty audits and compliance requirements
Liaise with internal departments regarding claim status and outstanding items
Reconcile warranty information and assist with administrative reporting
Provide general administration support to the Service Department
Answer incoming calls and direct enquiries appropriately
Assist customers with service bookings and general enquiries
Support the service reception area when required
Filing, scanning, document management, and other clerical duties
