Our client, Pace Live, takes shows on the road to theatres and venues across Australia, the USA and Europe. Our Christmas tour alone runs to more than 60 shows, and every one of those venues needs to know exactly what is coming, when, and who to call.
That's where you come in. As their Venue and Tour Coordinator you'll carry the admin that comes with every show. You'll look after our venues from first contact through to show day, coordinate venue marketing, and support our producers across the shows, so nothing falls through the gaps in a busy team.
This is an administrative role at its heart. It suits someone who loves a clean inbox, a confirmed checklist and a process followed properly, and who gets real satisfaction from being the reason things run smoothly.
We also want to be upfront about where the work happens. Most of their touring is in the USA, and it's all run from our office in Bundall on the Gold Coast. You'll spend much of your day working with US venues and teams on the other side of the world, and the time difference means some early starts or evening work at times. If you'd love to be closer to the stage, this probably isn't the role for you. If you're happy being the person at home base who makes sure every show overseas is ready to go, we'd love to hear from you.
WHAT YOU WILL DO
You'll be the main contact for every venue on a tour. That means sending introductions and insurance certificates, running the front of house advance through to sign-off, managing comps and holds, getting venues ready before the company arrives, and looking after their info@ inbox, patron messages and calls.
Venue marketing is a big part of the job from day one. You'll work with each venue to get show assets, copy and campaign details to them on time, keep track of what's running where, and follow up so every show is properly promoted. It's high volume and runs on clear processes, so it suits someone organised rather than someone looking for a creative marketing role.
You'll also look after the admin behind each tour, including venue bookings, contracts, ticketing setup, and anything else venue or admin related across their shows.
Alongside all of this, you'll support their producers across the shows, picking up the admin and follow-through that keeps each production moving.
WHO YOU ARE
They're a small team that moves quickly and runs on technology. They work on Macs, manage everything in Monday.com, and use AI tools and integrations to keep things moving. You'll be someone who is excited by that, picks up new systems fast and isn't thrown when a process changes.
You'll likely bring:
- Experience in an administration, coordination or customer service role where accuracy and follow-through mattered
- Confidence working through a high volume of emails and tasks without losing track of the detail
- The confidence to work through a question that isn't in the manual, and the instinct to write down the answer for next time
- Clear, friendly written communication, and the confidence to pick up the phone
- A calm, organised approach when lots of deadlines hit at once
You don't need a background in theatre or live events. If you've worked with venues, ticketing or events before, that's a bonus, but what matters most is that you enjoy getting in, focusing and getting it done.
WHAT YOU GET
You'll join a small, close team that genuinely cares about doing things well and looks out for each other. We're clear about what we expect, and we back you to get there.
A role that’s yours to own, with real say in how the work gets done and how our processes improve
