ABOUT THE ROLE
Are you the person who turns chaos into clarity, keeps things moving and makes sure great ideas actually happen?
At SwarmFarm Robotics, we’re changing the future of farming with autonomous technology built right here in Australia. We’re growing, innovating and tackling some big challenges and with that comes a lot of moving parts!
We’re looking for an exceptional Executive Business Partner to work alongside our CEO and help turn big‑picture thinking into clear actions, aligned priorities and real progress.
This role includes hands‑on executive support, owning the CEO’s inbox and calendar, and goes well beyond it. We’re looking for someone who loves being at the centre of the action, thrives in a fast‑moving environment and gets genuine satisfaction from bringing structure, clarity and momentum to a busy business.
You’ll be the person who connects the dots, keeps the wheels turning and makes sure nothing important gets lost along the way.
From helping our CEO stay focused on what matters most, to ensuring decisions are captured, actions are followed through and the right people have the information they need – you’ll play a key role in helping SwarmFarm operate at its best.
You won’t be setting the strategy or making decisions on behalf of our leaders. You’ll be helping turn decisions into action, creating the visibility and follow‑through that allows our CEO and leadership team to do what they do best.
What does success look like? A CEO who has the clarity, capacity and confidence to focus on leading the business, a leadership team that stays informed and aligned, and important priorities that keep moving forward.
If you’re naturally organised, commercially curious, proactive and love being the person who makes things happen, this role was made for you.
WHO YOU WILL WORK WITH
You’ll report to the CEO and work closely with our Co‑founder/CFO on the CEO’s time and priorities, and with our EA team for admin support. You’ll be at the centre of how our leadership team works, without needing to be the one in charge. You’ll also coordinate with investors, advisors, legal and partners on the CEO’s behalf: logistics, documents and follow‑up.
KEY RESPONSIBILITIES
Executive support and CEO time management
- Inbox, calendar and communications: Manage the CEO’s inbox, Slack, calendar and meeting requests daily, ensuring correspondence is prioritised and actioned promptly. Prepare and deliver a one‑page brief each morning outlining the day's schedule, decisions required and outstanding items. Delegate administrative tasks to the EA team during periods of high demand.
- Time and priority management: Partner with both Co‑founders to plan and manage the CEO’s calendar, ensuring time is allocated to the highest‑value activities, including agreed internal priorities.
- Meeting coverage: Attend meetings on the CEO’s behalf where required, or review AI‑generated meeting summaries, and provide concise briefings on key outcomes and matters requiring the CEO’s attention.
Decision management and governance
- Decision tracking: Establish clear accountability for each decision, including the owner, those to be consulted and the timeframe. Maintain the decision log in Asana, elevate stale decisions and ensure outcomes are communicated to the relevant stakeholders.
- Executive meeting cadence: Manage agendas, pre‑reads, decisions and actions for Executive meetings, including L10s. Use AI meeting summaries to capture decisions and actions, verify their accuracy, record them in Asana and follow up to ensure timely completion.
- Board and investor reporting: Support the preparation of board and investor packs and ensure reporting obligations are met on schedule.
Strategic planning and performance visibility
- Quarterly goal‑setting: Facilitate the quarterly goal‑setting process with the leadership team, support each department to align its goals with company priorities, and monitor progress.
- Leadership dashboard: Develop and maintain an Asana dashboard of company priorities, goals, key projects and risks, incorporating regular input from each department. Identify and elevate emerging risks early, before they become critical.
- Strategic project coordination: Coordinate major initiatives, such as international expansion (including the US), the new website and investor updates, ensuring they remain on track.
Communications and documentation
- Executive communications: Draft CEO communications, briefings, decision papers and summaries.
- Contracts and agreements: Coordinate contracts, agreements and associated documentation with legal counsel and external advisors.
Systems, processes and team coordination
- EA team coordination: Work in partnership with the Co‑founder/CFO and EA team, delegating administrative support such as travel, bookings and document preparation. Provide clear, well‑structured briefs so tasks are completed accurately the first time.
- Systems and process development: Establish Asana as the central platform for actions, decisions and project tracking, and develop it into the company’s primary reporting tool. Implement a single request intake process and robust templates that accommodate last‑minute changes.
