About the Role

Are you a process-driven contracts maestro who thrives on turning tender requirements into winning submissions and managing high-stakes client relationships? Perhaps a marketing or business development background?

We are seeking a new permanent part-time Tender & Contracts Coordinator to join our small team based in Joondalup.

In time you will take complete ownership of our end-to-end tender lifecycle, coordinate specialised education personnel, and act as a pivotal operational link for our core Department of Defence portfolios.

Key Accountabilities

  • Administer Defence contracts and service delivery, including assessment submissions, speaking tests, and other client requests, ensuring all activities are delivered within required timeframes and quality standards.
  • Act as the primary point of contact for Defence stakeholders, building and maintaining highly professional ongoing relationships.
  • Coordinate teaching staff, including scheduling work and allocating marking and testing activities.
  • Prepare and submit comprehensive tender responses, including sourcing suitable teachers and supporting all formal tender requirements.
  • Maintain the teacher talent pool, leading the sourcing, onboarding, and strict record-keeping for current and prospective educators.
  • Provide accurate payroll and invoicing information to Finance, ensuring accurate and timely processing.
  • Maintain quality, compliance, and business records, ensuring all documentation is accurate, secure, and up to date.

What You Bring

  • Proven track record as a standalone "guru" in tender writing, contract management, or program coordination (experience with Defence or government contracts is highly regarded).
  • Outstanding relationship management skills with the ability to interface confidently with Defence stakeholders and educators alike.
  • Razor-sharp organizational skills to handle complex scheduling, teacher allocations, and tight compliance timelines.
  • Australian Citizenship is an absolute requirement for this role due to the nature of our Defence portfolios.

Why Join Us?

  • Convenient Joondalup a modern office right in the northern suburbs.
  • Inclusive Culture: We thrive on different perspectives. We warmly welcome and encourage applications from culturally and linguistically diverse (CALD) backgrounds.
