  • Respond to patient enquiries across phone, email and face-to-face channels.

  • Liaise closely with specialists, nurses, counsellors, finance and other internal teams to coordinate patient requirements.

  • Maintain accurate patient information, documentation and records while ensuring confidentiality at all times.

  • Discuss treatment costs with patients and assist with processing payments and associated documentation.

  • Coordinate referrals and documentation relating to Medicare and other billing requirements.

  • Ensure pre-treatment administrative requirements and documentation are completed within required timeframes.

  • Provide an exceptional concierge-style experience to patients attending the clinic.

Requirements

  • Previous experience in a customer-facing administration, coordination or patient services role within a fast-paced environment.

  • Healthcare, medical reception, allied health or specialist practice experience would be highly regarded, but is not essential.

  • Strong administration skills including appointment scheduling, data entry and document management.

  • Confident communicating with customers/patients both over the phone and face-to-face.

  • Excellent interpersonal skills with a genuine passion for delivering an exceptional customer experience.

  • High level of empathy, emotional intelligence and discretion when dealing with sensitive or personal information.

  • Strong attention to detail and the ability to juggle competing priorities in a busy environment.

  • Experience using patient management systems, electronic medical records or similar CRM/database systems would be advantageous.

  • Knowledge of Medicare/PBS processes would also be advantageous but is not essential.

  • Positive, proactive and collaborative approach with the ability to remain calm and professional in sensitive situations.
