We are looking for an experienced Senior Medical Receptionist / Second-in-Charge (2IC) to provide maternity leave cover for our current 2IC for a period of six months.

This is a hands-on senior reception role with responsibility for supporting the reception team and assisting with the smooth day-to-day operation of the clinic. You will be a trusted point of contact for the Practice Manager, reception team and nursing team, helping identify and resolve operational issues, supporting staff and ensuring the clinic continues to run efficiently and professionally. This position is 76 hours per fortnight, Monday to Friday, between 7:30am and 5:30pm.

Key Responsibilities

  • Support the Practice Manager with the day-to-day operation of the clinic.
  • Act as 2IC and step into a leadership role when required.
  • Supervise, support and mentor reception staff.
  • Assist with rostering, workflow and daily allocation of duties.
  • Be an escalation point for reception and nursing staff, bringing issues to the Practice Manager and assisting with practical resolution.
  • Support the Practice Manager in maintaining staff accountability, teamwork and professional standards across the clinic.
  • Support the Practice Manager with initiatives that contribute to clinic growth, patient retention and engagement, including marketing activities, promotions and patient communications.
  • Proactively manage waitlists, referrals, recalls and patient enquiries to maximise clinic utilisation.
  • Assist with patient complaints and concerns, resolving issues professionally and escalating where appropriate.
  • Provide a welcoming and professional experience for patients.
  • Manage appointments, registrations, patient enquiries and payments.
  • Maintain accurate patient records and patient confidentiality.
  • Complete end-of-day banking and Tyro settlements.
  • Provide administrative support to doctors, nurses and the Practice Manager, and assist with other tasks as required to support the smooth running of the clinic.
  • Liaise with insurers, employers, solicitors and other external stakeholders when required.
  • Assist with Medicare / DVA billing requirements.
  • Assist with staff onboarding, training and recruitment when required.
  • Ensure clinic policies, procedures and standards are followed.
  • Maintain the presentation and cleanliness of reception and shared clinic areas.

About You

You are an experienced medical receptionist who is confident, organised and comfortable taking responsibility in a busy clinical environment. You will be someone the Practice Manager can rely on to support the team, identify and address issues, use initiative and help keep the clinic running smoothly.

To be successful in this role, you will have:

  • Previous experience in a senior medical reception, 2IC, team leader, practice management or similar role within a general or specialist medical practice (essential).
  • Experience using Xestro Practice Management Software or similar medical practice management systems.
  • A strong understanding of GP Medicare/DVA billing.
  • Excellent communication and interpersonal skills, with the confidence to communicate effectively with patients, doctors, nurses and other health professionals.
  • Strong organisational skills and exceptional attention to detail.
  • The ability to prioritise competing demands, delegate and remain calm and professional in a busy environment.
  • The confidence to make decisions, take responsibility and use initiative when required.
  • The ability to identify, address and escape issues appropriately, including acting as an escalation point for staff, health professionals and patient complaints.
  • A professional, friendly and empathetic manner, with a strong commitment to providing an exceptional patient experience.
  • Professional presentation and a high standard of personal and workplace professionalism.
  • The ability to work independently while also contributing positively to a close-knit team and supporting the day-to-day operation of the reception desk.

Registered Nurses with relevant medical reception and administrative experience are also encouraged to apply. While this is primarily a senior reception/2IC position, the ability to provide nursing support when required would be highly regarded.
