Hear Check is an independent audiology clinic looking for an experienced customer service or administration professional who enjoys a busy workplace, communicates clearly and takes pride in following things through. This is a permanent part-time position, Monday to Thursday, 8:30am to 5:00pm. This is a hands-on role combining patient service, administration, appointment coordination and practical hearing aid support. We are looking for someone interested in a long-term position where they can develop specialist knowledge, build strong relationships with patients and colleagues, and become a trusted member of our growing clinic.

About the role

You will report to our Practice Operations Lead and Clinic Director, and work closely with our audiologists. Your responsibilities will include:

  • Welcoming patients and providing warm, attentive service in person and over the phone.
  • Managing a changing clinical diary and responding promptly to cancellations and booking changes.
  • Coordinating appointments, recalls and follow-up, ensuring patients understand what happens next.
  • Maintaining accurate patient records and completing payments and general clinic administration.
  • Communicating clearly with the clinical team so requests are understood, recorded and followed through.
  • Learning to provide basic hearing aid cleaning, maintenance, troubleshooting and minor over-the-counter repairs, with training and clear guidance on when to involve an audiologist.
  • Supporting the smooth day-to-day operation of the clinic and helping patients feel comfortable and well looked after.

What will help you succeed

You will bring warmth, patience and professionalism, together with the ability to work efficiently and accurately when priorities change. You will be comfortable welcoming a patient, recognising when something needs immediate attention, adjusting your priorities and still keeping track of what needs to be completed.

We are looking for someone who:

  • Has demonstrated experience in a busy customer service, reception or administration role.
  • Communicates clearly, respectfully and patiently, including with people who have hearing difficulties.
  • Can stay organised and attentive to detail when managing interruptions and competing priorities.
  • Takes ownership of tasks and follows them through to completion.
  • Is confident using computers and willing to learn detailed systems, processes and procedures.
  • Enjoys practical, hands-on work and is comfortable learning to handle small hearing aid components.
  • Is dependable, receptive to feedback and interested in developing a long-term career in patient services.
  • Understands the importance of confidentiality, accuracy and respectful patient care.
  • Experience in medical, dental, allied health or another demanding service environment would be valuable.
  • Previous audiology experience is welcome, but is not essential.

At Hear Check, your work will make a visible difference every day β€” whether that means helping someone hear more clearly, making an appointment easier to navigate, or ensuring a patient feels understood and supported.

You will have the opportunity to:

  • Develop specialist knowledge in audiology and hearing technology.
  • Learn practical hearing aid support skills through training and guidance.
  • Build genuine relationships with returning patients.
  • Work closely with experienced clinicians in an independent clinic.
  • Contribute to the growth and development of a close-knit team.
  • Build a stable, long-term career in patient services and clinic operations.

Audiology administration takes time to master. We are looking for someone who values learning, takes pride in doing things well and wants to become a trusted, knowledgeable and dependable member of our team for years to come.
