Precast Structures - Concrete Panel Manufacturing

[South East Suburbs] | [FULL-TIME] | [Salary based on level of experience]

Coordinate the workflow that keeps our precast panels moving

Precast Structures is a precast concrete panel manufacturing operation. We're looking for a well-organised Operations Assistant to support our operations manager and sit at the centre of the panel workflow β€” from receiving structural drawings through to issuing approved documents to the factory floor, tracking panel status, ordering materials and invoicing clients.

If you have a background in building, precast or concrete structural elements β€” or you've run a similar coordination function elsewhere β€”or you're a graduate and you take pride in getting the detail right, we'd like to hear from you.

What you'll do Drawing and document control

  • Receive structural and shop drawings from architects, engineers and consultants, and register them accurately on receipt.
  • Distribute drawings to builders, engineers and clients for review, and track each review through to approval.
  • Maintain strict version control β€” ensuring only the current, approved revision is in circulation, and that superseded versions are clearly marked and archived.
  • Prepare approved drawings for release and issue hard copies to the factory floor, so the floor is always manufacturing from the latest approved revision.
  • File and archive all drawings and correspondence so anything can be retrieved quickly.

Panel status and reporting

  • Maintain and continually update spreadsheets tracking each panel through design, approval, manufacture and delivery.
  • Give the Operations Manager clear, current status reports on panels and outstanding approvals.

Materials, stock and procurement

  • Order concrete and associated materials at the right time to meet the manufacturing programme β€” planning ahead to avoid delays.
  • Run stock control: monitor inventory, reorder ahead of need and keep accurate records.

Client liaison and invoicing

  • Communicate professionally with clients by phone/email and in writing on drawing status, deliveries and general enquiries.
  • Prepare and issue invoices for product delivered, ensuring quantities and pricing are accurate.

General

  • Provide day-to-day administrative and coordination support to the Operations Manager as required.

About you

  • Document version control β€” an instinctive sensitivity to revisions and the discipline to keep the correct version in use.
  • Able to read structural drawings β€” confident reviewing and interpreting structural and shop drawings.
  • Organised, with strong attention to detail β€” manages multiple drawings, panels and deadlines without letting anything slip.
  • Spreadsheet proficient β€” competent maintaining detailed tracking spreadsheets (e.g. Excel).
  • Proactive planner β€” anticipates material and stock needs and acts ahead of time.
  • Clear communicator β€” professional with clients, architects, engineers and factory staff alike.
  • Numerate and accurate β€” reliable with quantities, ordering and invoicing.
  • Able to work – autonomously.
  • Proficient use of β€” MS Excel and MS Word
