I’m looking for a seriously capable, highly organised EA who loves technology, is very comfortable in the Apple ecosystem, enjoys solving problems and gets genuine satisfaction from making complicated lives run smoothly. I’m a female doctor and business owner with a busy professional life, multiple kids and a lot happening at once. I need someone who can take the enormous volume of administration, logistics and little decisions that comes with that and quietly make them disappear.
This is not a traditional “manage my diary and take minutes” EA role. One day might involve:
- organising family travel
- researching and booking appointments
- sorting school or extracurricular logistics
- finding something obscure online
- managing calendars and email
- completing forms
- comparing options
- chasing something that hasn’t happened
The next might involve:
- researching a new piece of software
- working out why a digital system isn’t doing what we want
- comparing suppliers
- pulling together information for a business decision
- using AI to make sense of a pile of information
- finding a smarter way to organise something so we never have to solve the same problem twice
The subject matter can be wonderfully random. There will be mundane things. There will also be genuinely interesting problems to solve.
You need to be genuinely good with technology. We are heavily Apple-based, so you should be extremely comfortable with Macs, iPhones and iPads — ideally, you’re the person other people ask when they can’t work something out. You’ll also be working across Microsoft 365, Dropbox, email, calendars, cloud-based systems and AI tools such as ChatGPT and Claude.
You should be naturally curious about technology, quick to learn new software and very good at figuring things out. Stronger technical skills are a real asset. If you can see a clunky process and think of a better system, workflow or automation, I want to hear the idea.
I’m not looking for someone who simply operates the systems they’re given. I want someone who notices opportunities to make things simpler, faster and more reliable.
The person I’m looking for:
- You’re exceptionally organised, fast and resourceful.
- You write well, notice details and have excellent judgement.
- You don’t need everything turned into a set of instructions before you can start.
- You can take something from “this needs sorting” to “sorted.”
- You know when to make a decision yourself, when to research it, when to follow something up without being asked, and when something genuinely needs my input.
- You’re comfortable juggling lots of unrelated things without losing track of them, and you build systems so important things don’t depend on either of us remembering them.
- You’re also someone I can trust. You’ll have access to professional and personal information, so discretion, maturity and confidentiality are essential.
The practical bits:
- 20–30 hours per week, with some flexibility around how those hours are structured.
- The role is based around Robina / Mudgeeraba.
- Availability for immediate start preferred.
If this sounds like you, I’d love to hear a little about your background — but particularly about how you use technology. Tell me about a system, workflow, automation or tech solution you’ve created or improved, and give me an example of something you were asked to do where you didn’t initially know how — but worked it out.
