About the Role
Looking for a part-time role where no two days are quite the same? We’re looking for a friendly, organised and proactive Reception & Administration Assistant to become an important part of our team and the face of our business. Working Thursdays and Fridays, 8:30am – 4:30pm, this is a fantastic job-share opportunity offering the perfect balance of professional responsibility and flexibility. But this role is so much more than reception. You’ll be a key support across the business, with a varied mix of administration and coordination responsibilities including purchasing, invoicing, contractor onboarding and safety documentation. You’ll have the opportunity to work across different areas of the business, build strong relationships with people at all levels and genuinely make a difference to the smooth running of our operations.

We’re looking for someone who takes pride in what they do, enjoys being busy, loves helping people and thrives on being the person others can rely on.

Key Responsibilities

  • Deliver a polished front‑of‑house experience by managing reception services, greeting visitors, and assisting with customer enquiries.
  • Take ownership of mail, parcel distribution, catering coordination, and internal credit card invoice processing.
  • Keep our reception, meeting rooms, and training spaces running smoothly through organised bookings, signage, and general presentation.
  • Coordinate stationery supplies, uniform orders, and cleaning consumable stock to ensure the facility is always well equipped.
  • Provide hands‑on administrative support including purchase orders, invoice processing, expense claims, query management, and maintaining key facility systems.
  • Coordinate contractor registrations, inductions, and compliance documentation through "On Location" and SharePoint, ensuring all contractor records and licences remain accurate and up to date.

What You’ll Bring

  • A friendly, positive customer‑focused approach with excellent written and verbal communication skills.
  • Strong organisational and multitasking skills, with the ability to prioritise, problem‑solve, and work independently.
  • Confidence using Microsoft Office and general computer systems.
  • A proactive, can‑do attitude and willingness to help others.
  • A Certificate III in Business Administration or Finance or proven experience in a similar role.

Our Offer

  • Global Company - Job Stability
  • Development and career progression opportunities
  • Generous employee benefits, including 5 days bonus leave days, paid parental leave, early access to LSL
