As Executive Assistant, you will provide high-level executive support to the General Counsel and strategic operational support to the Senior Manager.
You will serve as the trusted first point of contact for the General Counsel, managing complex workflows, sensitive correspondence, and key stakeholder relationships with discretion, initiative, and high-level autonomy.
Beyond day-to-day executive coordination, this role plays an active part in embedding and refining the Legal Support Operating Model (LSOM), driving operational efficiency, transformation workstreams, and digital legal administration across the portfolio.
Key Responsibilities
- Manage the General Counsel’s schedule, briefings, travel itineraries, and correspondence to maximize focus on institutional priorities.
Triage complex matters, prepare executive communications, and lead OGC-wide events and strategic planning forums.
- Support the Senior Manager in aligning workflows, resource planning, process mapping, and continuous refinement of the LSOM to deliver excellence across legal services.
- Act as a key liaison between internal leaders, sector networks, external counsel, and executive teams across the organisation.
- Oversee legal matter management in enterprise tools (LEX, i Manage, Records Online) and maintain strict data privacy and confidentiality.
- Assist with HR, recruitment workflows, facilities/WHS coordination, travel and expense reconciliations (Concur, Uni Buy), and technology adoption.
- Embrace emerging practices, digital tools, automation, and human-centered design principles to elevate operational performance.
About You
- A Bachelor’s degree, Certificate IV, or Diploma in a relevant field (or an equivalent combination of relevant training and extensive experience).
- Extensive experience providing high-level executive administrative support to senior leadership.
- Proven track record in diary management, complex travel coordination, process improvement, and operational support.
- Strong relationship-building skills in fast-paced, diverse environments.
- Advanced skills in MS Office, enterprise travel/procurement systems (e. g., Concur, Uni Buy), and legal management systems (e. g., LEX, i Manage)
- High-level autonomy, critical problem-solving, and sound decision-making regarding sensitive and confidential matters.
- Exceptional written, verbal, and proofreading skills, with the tact and diplomacy to negotiate and resolve operational challenges.
- A growth mindset committed to continuous improvement, digital tool adoption, and supporting organizational change initiatives.
