Queensland Trucking Association – Brisbane QLD

The Queensland Trucking Association (QTA) is looking for a capable and highly organised Project Coordinator to support the delivery of workforce development, training and industry skills initiatives across Queensland.

This is an opportunity to join a collaborative team working closely with employers, training organisations and industry partners to deliver practical projects that strengthen the road freight industry's workforce and build skills for the future.

We're looking for someone who doesn't just wait to be told what needs doing. You are naturally proactive, take pride in getting the details right, anticipate what needs attention and enjoy making things happen.

You'll play an important role in keeping projects on track, coordinating people and activities, maintaining accurate records and ensuring project commitments are delivered and properly documented.

If you enjoy variety, working with people and bringing structure and momentum to busy projects, this could be the opportunity for you.

About the Role

Reporting to the Industry Skills and Jobs Engagement Manager, you will coordinate the day-to-day activities and administration of QTA's workforce, training and industry skills projects.

Working across multiple initiatives, you'll help manage project schedules, coordinate stakeholder activities, monitor milestones, maintain records and support reporting and compliance requirements.

You'll also engage directly with employers, participants and delivery partners, developing an understanding of their needs and ensuring they receive responsive, practical support.

This role is suited to someone who combines strong organisational and administrative capability with good people skills, initiative and an understanding of how small and medium-sized businesses operate.

What You'll Be Doing

Project Coordination and Delivery

Coordinate project activities, schedules, workplans and action registers to keep deliverables on track.

Organise meetings, workshops, events and activities involving employers, training providers and project participants.

Monitor project milestones, deadlines and commitments, following up actions and identifying potential delays.

Recognise emerging issues and delivery risks, escalating them early and helping identify practical solutions.

Keep the Industry Skills and Jobs Engagement Manager informed of project progress and priorities.

Project Administration, Reporting and Compliance

Maintain accurate project records, participant information, employer details and supporting documentation.

Coordinate the collection of evidence and information required for project reporting, grant milestones and acquittals.

Assist with supplier liaison, purchase requests, event bookings and project expenditure tracking.

Ensure project files, records and correspondence are organised, complete and ready for review or audit.

Handle confidential information appropriately and maintain strong document management practices.

Employer and Stakeholder Engagement

Build positive working relationships with employers, participants, training organisations and delivery partners.

Communicate confidently with small and medium-sized businesses and understand the practical pressures they face.

Respond to enquiries, coordinate follow-up and ensure agreed actions are completed.

Gather employer feedback and identify emerging workforce and training needs.

Assist with preparing project updates, case studies, presentations and stakeholder communications.

Identify opportunities to improve project processes, systems and administrative workflows.

Look for smarter ways to organise information, track progress and manage competing priorities.

Share feedback and lessons learned to help improve future project delivery.

Embrace technology and digital tools that improve efficiency, collaboration and productivity.

About You

You're someone who naturally brings organisation and momentum to a busy team.

You are observant, practical and proactive. You notice when something needs attention, follow through on commitments and take ownership of making sure things get done.

Just as importantly, you're personable and comfortable dealing with different types of people. You understand that small and medium-sized businesses are busy, have competing priorities and need practical, responsive support.

You will bring:

Demonstrated experience working in or closely with small to medium-sized businesses, with an understanding of their operating environments and practical business needs.

Experience supporting administration, coordination or project activities.

Excellent organisational skills, attention to detail and the ability to manage competing priorities.

Confidence using Microsoft 365 applications, particularly Teams and SharePoint, along with shared records and digital project management systems.

Strong communication and interpersonal skills, with the ability to build rapport and work effectively with a range of stakeholders.

Initiative, sound judgement and the ability to anticipate requirements, monitor actions and escalation issues when needed.

A practical, resourceful approach and a willingness to learn new systems, applications and ways of working.

It Would Be Great If You Also Have

Experience in vocational education and training, workforce development or skills programs.

Exposure to government-funded projects, grants, reporting or acquittal processes.

An understanding of the transport and logistics industry and its workforce challenges.

Experience using AI applications and digital productivity tools to improve research, drafting, administration and business workflows.

Most importantly, we're looking for someone with the right attitude, work ethic and willingness to learn.
