Migration Assistant / Case Coordinator β€” Casual

Orbit Global Mobility & Migration Advisory

Location: Glenroy, Melbourne
Employment type: Casual | Variable hours

About the opportunity

Orbit Global Mobility & Migration Advisory is seeking an experienced Migration Assistant / Case Coordinator to work directly with our Principal Registered Migration Agent.

This role suits someone who combines practical migration administration experience with genuine curiosity about Australian migration. You enjoy understanding the purpose behind a document request, spotting inconsistencies and keeping matters progressing without needing instructions for every individual task.

A law or migration-law student with relevant migration assistant experience is encouraged to apply. Equally, we welcome experienced migration support professionals who bring initiative, sound judgment and a keen interest in the field.

The role

Our Principal determines case strategy, provides immigration advice and retains responsibility for substantive assessment and lodgement. You will coordinate the administrative preparation of matters under her direct supervision, ensuring information and documents are collected, organised and readily accessible for review.

Our current matters primarily involve employer-sponsored migration, so confidence communicating professionally with business owners, managers and applicants is important.

Your responsibilities will include:

Coordinating document collection using case-specific checklists and instructions provided by the Principal.

Communicating with employers and applicants, answering administrative queries and following up outstanding information.

Checking documents for administrative completeness and identifying missing pages, unanswered questions and inconsistent information.

Bringing discrepancies, unclear instructions and matters requiring professional judgment to the Principal’s attention.

Organising and indexing documents so files are easy to navigate and prepare for lodgement.

Preparing service agreements and routine correspondence using approved templates and instructions, and coordinating signatures.

Maintaining accurate case notes, correspondence, task lists, reminders and client records.

Preparing invoices and receipts as directed and maintaining associated administrative records.

Using Migration Manager to manage matters and progressively entering historical files during quieter periods.

Helping develop practical templates, checklists and documented administrative workflows.

Supporting additional staff to use established systems and processes as the business grows.

The position does not involve independently providing immigration advice or determining case strategy.

About you

You will bring:

Previous experience as a migration assistant, case coordinator or in a comparable support role within an Australian migration practice.

Practical experience supporting employer-sponsored migration matters.

Working proficiency in Migration Manager and the confidence to help us make effective use of its features.

Excellent written and spoken English, including the ability to communicate clearly and professionally with employer clients.

Strong organisation, attention to detail and reliable follow-through.

The ability to manage agreed tasks independently while recognising when to seek guidance.

Sound judgment, discretion and care when handling confidential information.

A genuine interest in Australian migration developments and a desire to keep learning.

Legal or migration-law studies will be well regarded but are not essential.

What we particularly value

We value someone who thinks carefully about their work. If information conflicts, an instruction appears incomplete or something does not make sense, you investigate within your role and raise a clear question rather than simply proceeding.

You may be someone who follows migration news out of personal interest and enjoys discussing developments with colleagues. We value curiosity supported by reliable sources, thoughtful questions and an understanding of your professional boundaries.

Hours and flexibility

This is a casual position with hours offered according to business needs and agreed availability.

Anticipated initial workload of approximately two three-hour shifts per week.

Potential to increase to four shifts per week, of up to five hours each, during busier periods.

Hours may be lower during quieter periods and are not guaranteed.

Shift days and times will be discussed and agreed, with flexibility around study or other commitments where practicable.

Work directly with the Principal and see how a growing migration practice operates.

Take meaningful ownership of case coordination and practice administration.

Contribute ideas and help improve the way we manage matters.

Build on your migration experience through exposure to employer-sponsored cases.

Access flexible casual work with scope for additional hours as business needs grow.
