We're looking for a Service Coordinator / Workshop Administrator to become a key part of our truck and heavy equipment workshop in Maddingley, in the Bacchus Marsh area. You'll work with the owner and our mechanics and help keep the day organised. Jobs need booking, parts need ordering, customers need updates, invoices need sending and mechanics need to know what's coming next. There's also a good mix of customer interaction. Some of the things we do, such as ECU tuning and pre-cleaning upgrades, are services customers are genuinely excited about, so it's not all just chasing repairs and paperwork.

You won't be thrown in the deep end either. The current person in the role will be here to train you and provide a proper handover during the transition. This isn't a traditional Service Manager role where you need to be a mechanic or have years of technical experience. We're looking for someone organised, switched on, good with people and comfortable taking ownership of their work.

Key responsibilities

  • Coordinating and scheduling workshop jobs
  • Booking in customer work and planning upcoming jobs
  • Keeping in touch with mechanics about job progress and requirements
  • Speaking with customers and keeping them updated
  • Sourcing and ordering parts from suppliers
  • Making sure parts and purchases are allocated to the correct jobs
  • Preparing and sending invoices
  • Processing customer payments
  • Keeping job records and general office admin up to date
  • Identifying opportunities to offer customers ECU tuning and Sy-Klone air pre-cleaning solutions, with commission paid on successful sales

About you

You don't need to know everything about trucks or heavy equipment from day one. We're more interested in finding someone who's organised, capable and comfortable working in a hands-on environment. Experience as a Service Coordinator, Workshop Administrator, Service Administrator, Service Advisor, Parts Coordinator, or in a similar coordination or administration role within construction, trades, automotive, transport or mechanical industries would be highly regarded.

You’ll ideally be:

  • Organised and good at keeping things on track
  • Confident speaking with customers, mechanics and suppliers
  • Very comfortable using computers and learning new systems
  • Experienced with invoicing, payments or administration
  • Comfortable working independently as part of a small team
  • Experience with trucks, heavy equipment, earthmoving, automotive, or agricultural machinery is a bonus, but definitely not essential to be successful in this role.

About us

NVG Heavy Equipment has been operating since 2014 from our purpose-built workshop in Maddingley, near Bacchus Marsh. We work on trucks, heavy commercial vehicles and earthmoving equipment for a wide range of companies. Our crew genuinely gets along well and supports each other. There's no big corporate structure or layers of management, just a good group of people who work well together and help each other out when things get busy.

Because the team is small, this role really matters. You'll have a real hand in how the day runs and in keeping the workshop organised and running smoothly. If you like variety, enjoy dealing with people and take satisfaction from being the person who keeps everything moving, we'd love to hear from you.

*Only shortlisted candidates will be contacted.
