Nordica Health is a growing allied health clinic located in Forest Glen on the Sunshine Coast. We specialise in osteoporosis and bone health, healthy ageing and falls prevention, persistent pain and neurological conditions. We take pride in providing quality, person-centred care and have built a wonderful community of clients and members. As our clinic continues to grow, we're looking for an experienced and organised Clinic Coordinator to help oversee our administration, improve our systems and support the day-to-day operations of the clinic.

The role involves approximately 6-10 hours per week on a casual basis, with the opportunity to transition to permanent part-time and increase hours as the role develops. Initially, the position will be predominantly remote, with some on-site hours at our Forest Glen clinic. Over time, we expect the hours to increase, and the position will involve more regular on-site work as needed.

Key responsibilities include:

  • Coordinating client enquiries, bookings and communication in collaboration with our virtual administration (VA) team.
  • Supporting and improving the quality and consistency of our front-of-house services and client experience.
  • Overseeing appointment scheduling systems to maximise bookings and minimise appointment vacancies.
  • Identifying opportunities to improve administrative systems, procedures and workflows.
  • Assisting with class bookings, memberships, client accounts and follow-ups.
  • Supporting communication between clients, practitioners and the administration team.
  • Monitoring administrative processes to ensure tasks are completed accurately and efficiently.
  • Supporting the clinic owner with general administration, coordination and ongoing business improvements.

About you:

We are looking for someone who is reliable, organised and confident working independently. You have a strong work ethic, take initiative and pride in your work, and are interested in becoming a valued, long-term member of our team.

Essential requirements:

  • Previous experience in administration, ideally within healthcare or allied health.
  • Excellent organisational and time-management skills.
  • Strong written and verbal communication skills.
  • High attention to detail and accuracy.
  • A strong work ethic, reliability and a sense of accountability.
  • Ability to take initiative, solve problems and work independently.
  • Confidence using computers and learning new software.
  • A professional, friendly and compassionate approach when communicating with clients.
  • Respect for confidentiality and sensitive health information.
  • Willingness to increase on-site hours as the role develops.

Highly desirable:

  • Experience with practice management software such as Cliniko.
  • Experience coordinating or working alongside virtual administration teams.
  • Experience with Xero, Mailchimp or similar systems.
  • Previous experience managing appointment schedules, classes or memberships.
  • Experience improving administrative processes and developing efficient workflows.

Why join Nordica Health?

  • Flexible working arrangements: Predominantly remote initially, with increasing opportunities for on-site involvement.
  • Autonomy: Take ownership of your responsibilities and contribute ideas.
  • Supportive environment: Work with a friendly team that values collaboration and communication.
  • Variety: Enjoy a mix of client communication, administration, coordination and systems improvement.
  • Opportunity for growth: Potential to transition to permanent part-time, increase hours and take on additional responsibilities as the clinic develops.
  • Meaningful work: Be part of a clinic that genuinely cares about its clients and community.
