The role will act as a central point of coordination across the Managing Director's day, ensuring priorities, communications, meetings and follow-ups are managed efficiently. What's on offer:

  • $55 per hour + superannuation
  • Initial 3-month contract
  • Fully remote working arrangement
  • Opportunity to work closely with the Managing Director of an executive search business
  • Varied, hands-on role with plenty of autonomy and responsibility

Key responsibilities

  • Provide comprehensive 1:1 Executive Assistant support to the Managing Director.
  • Manage a busy inbox, prioritising communications and ensuring key actions and follow-ups are completed.
  • Review, draft and respond to emails on behalf of the Managing Director.
  • Manage diary and calendar requirements, coordinating internal and external meetings.
  • Coordinate interviews across candidates, clients and internal stakeholders, managing all scheduling and logistics.
  • Act as a key point of contact between the Managing Director, clients, candidates and other stakeholders.
  • Prepare interview schedules, candidate briefing packs, candidate profiles and other supporting documentation ahead of client meetings and interviews.
  • Coordinate candidate communications relating to interviews, meeting details, documentation and next steps.
  • Ensure the Managing Director is fully briefed and prepared ahead of meetings, interviews and client calls.
  • Track key actions, follow-ups and deadlines across the Managing Director's workload.

About you

  • Previous experience providing Executive Assistant support, ideally at CEO, Managing Director or senior executive level.
  • Strong diary and inbox management experience.
  • Highly organised with the ability to manage multiple competing priorities and deadlines.

  • Professional and confident communicating with senior clients, executives and candidates.
  • Strong attention to detail, particularly when preparing documents, briefing packs and meeting materials.
  • Proactive and able to anticipate what needs to be done rather than waiting for direction.
  • Comfortable working closely 1:1 with a Managing Director in a fast-paced environment.
