Job Description

Our Workforce Planning Team is seeking a Workforce Officer to join the team on a full-time basis. Working on a rotating shift worker roster within our team of 6 people, you will form an important part in maintaining shift coverage for NDIS participants in a variety of supports.

The day to day of a Workforce Planning officer involves:

  • Responding to emails, texts and phone calls.
  • Processing and replacing unplanned and planned leave, this includes contacting staff through multiple communication methods to ensure timely coverage.
  • Being a point of contact for a specific business unit and ensuring that master rosters and participant jobs are prepared correctly for upcoming work schedules.
  • Maintaining templates and ensuring staff contracted hours are scheduled in accordance with SCHADs award.
  • Compliance with the SCHADs award as well as Mai-Wel's Workforce Planning Principles in roster decisions and job allocations.
  • Creating and editing participant jobs with correct billing details reflective of Service Agreements and Schedules of Support.

Each WFO has dedicated time throughout the day to work on their specific business unit needs, as well as shared time during which they assist in shift coverage and communications. At times the work is fast paced, however the team are a supportive unit who work together to achieve coverage solutions and share staff across the various business areas.

Ideally the successful candidate will have some rostering experience and it is desirable that you are familiar with rostering software such as Skedulo, Lumary or Deputy.

Desired Skills and Experience

The successful candidate will be proficient in Microsoft Office, including but not limited to Outlook, Word and Excel. A high standard of written and spoken English is essential. As this is a hybrid role, a high level of autonomy is required, with excellent time management skills and ability to prioritise. The close-knit team are available for support, however at times each WFO works in an independent capacity such as on weekends and after hours.

There is an expectation that the successful candidate will commit to working 1-2 days per week in one of Mai-Wel's locations around Maitland, Newcastle and the Hunter. A home office space would be beneficial to take advantage of the hybrid aspect and if you choose to work from home you would need to arrange a desk and screens. A laptop is provided by Mai-Wel.

This role is a shift worker position and includes a rotating roster working 1 weekend in 4, early mornings, evenings and taking part in an informal roster working on call after hours after the initial training period has concluded.

This position would commence as soon as feasible with negotiation of start date available. There is no closing date, and we will review all applications as they come in; if a suitable candidate is found, the job will then close.
