THE ROLE
Reporting to the Director of Global Partnership and Admissions, you will handle admissions for MEGA and HEI, from enquiry to commencement: VET certificates and diplomas, English courses, high school and primary school programs for students under 18, and higher education. Every offer and Confirmation of Enrolment (CoE) must be accurate and on time.
WHAT YOU WILL DO
Admissions and offers
Assess applications from agents and direct applicants: academic, English and identity documents, credit transfer and RPL, escalating complex cases
Issue Letters of Offer and written agreements, process acceptances, and track fee payments, receipts and refunds with Finance
Issue and maintain CoEs in PRISMS once fees, refund terms and OSHC are checked
For students under 18 in our high school and primary school programs (HSP and PSP), arrange homestay and welfare, and issue CAAW letters
Check every file against the Genuine Student requirement, elevate weak or altered documents, and track visa outcomes by agent and country
Reporting and systems
Produce admissions reports and insights, including the weekly figures and starter lists, and flag any discrepancies
Report CoE variations in PRISMS on time, including deferrals, suspensions, cancellations and course changes
Run PRISMS exports and returns, such as the agent commission data collection
Keep PRISMS, Meshed (HEI) and aXcelerate (MEGA) accurate, fix any mismatch between them, and keep process documents current
Set up and update agency records in Meshed and aXcelerate, including agent numbers, agreement dates and portal access
Agents and students
Guide agents on entry requirements, fees, intakes and application status, and onboard new agents
Confirm an agent's agreement is current before accepting applications, and confirm enrolment and payment before commission is approved
Answer student enquiries by email, phone and in person, and support orientation and open days
Compliance and workflow
Manage the MEGA and HEI admissions inboxes and workflow, and report backlogs and risks
Keep student files ready for audit, provide admissions evidence for TEQSA and ASQA, and help review admissions policies
Handle admissions complaints and appeals, give written reasons and appeal rights for refusals, and refer welfare concerns
ABOUT YOU
At least three years in admissions with an Australian CRICOS-registered provider
Sound knowledge of VET certificates and diplomas, ELICOS and higher education, and of homestay, welfare and CAAW arrangements for students under 18

Advanced use of Meshed or aXcelerate, ideally both
Working knowledge of the ESOS Act 2000, the National Code 2018 and the Genuine Student requirement
