St Ives Doctors is looking for a capable Front Desk Team Member to join our general practice team. We are a long-established local practice, caring for families in St Ives since 1983, with a loyal patient base. We have recently relocated to new, purpose-designed rooms at St Ives Plaza and we are now entering an exciting period of growth in a modern, light-filled health hub.
We are looking for someone warm, practical and adaptable who can help support the team through this next stage. This role would suit someone who genuinely enjoys working with people and understands that medical reception is not just about answering phones, but about helping patients feel welcomed, informed and cared for from the moment they contact the practice.
The successful applicant will work closely with our Front Desk Lead, doctors, nurses and administrative team. There will be support and training, but we are hoping to find someone who brings maturity, initiative and a steady approach to busy days.
The person we are hoping to find:
- We are not looking for someone who treats reception as just admin.
- We are looking for someone who understands that the front desk is central to how a medical practice feels and functions.
- Medical reception is about helping an older patient feel reassured, noticing when someone is anxious or confused, keeping the appointment book moving, making sure messages are handled properly, and helping the doctors and nurses get through the day with fewer disruptions.
The right person will be organised, reliable and steady, but also kind, patient and thoughtful. They will enjoy being part of a team, take pride in doing things properly, and want to contribute to a practice that is growing carefully and deliberately.
About the role:
- This is a hands-on medical reception role with a strong focus on patient experience, accurate administration, billing and follow-through.
- Greeting and checking in patients warmly and professionally.
- Checking patients out after their appointment, including payments and receipts.
- Managing incoming phone calls, bookings, rescheduling and patient enquiries.
- Supporting appointment flow and helping the day run smoothly.
- Communicating delays or changes to patients and the team.
- Processing payments, Medicare claims and private billing accurately.
- Supporting recalls, reminders and online booking workflows.
- Monitoring the shared inbox and actioning patient communications.
- Scanning, filing and processing correspondence.
- Registering and onboarding new patients, including supporting patients through our move and records transfers.
- Keeping patient details accurate and up to date.
- Helping keep the front desk and waiting area clean, calm and professional.
- Following opening, closing and daily reception procedures.
- Escalating patient concerns or operational issues early to the Front Desk Lead.
- Working closely with doctors, nurses and the wider team to support a smooth patient experience.
About you:
- A warm, professional and calm manner with patients.
- Experience in medical reception, customer service or administration.
- Good communication skills in person, on the phone and with colleagues.
- Strong attention to detail.
- The ability to stay calm in a busy environment.
- Good judgement when handling confidential patient information.
- The ability to follow procedures and documented workflows.
- A practical, helpful and team-focused attitude.
- Confidence using systems, or the ability to learn them quickly.
- Experience with Best Practice, HotDoc, Tyro, Medicare billing or Microsoft 365 will be highly regarded.
- Previous general practice experience is desirable, but not essential for the right person.
