We are a rapidly growing exercise physiology company on a mission to enhance and extend the lives of all Australians. Having grown from 1 to 26 locations across the country and a team of 95+ (and counting), we're now looking for a strategic, forward-thinking Administrative Manager to guide our admin team and help us scale smarter, not just harder.
What We Are Looking For
This isn't just a data-entry role — it's a leadership position for someone who thinks in systems, spots inefficiencies before they become bottlenecks, and feels empowered to bring new ideas (including AI-driven tools) to the table. You'll manage our admin team, own our operational systems, and partner directly with senior leadership to foster continuous improvement across the business.
Key Responsibilities
- Admin oversight: Manage billing, overdues, allocations, compliance audits, and third-party liaising, while supporting and up-skilling team members in Exercise Physiology administrative tasks.
- Lead and mentor: Guide the administrative team through coaching, performance development, and day-to-day support.
- Process improvement: Identify and implement efficiency upgrades across admin systems and workflows.
- Advocate for AI and automation: Bring practical ideas for how technology can streamline operations, reduce manual work, and elevate the client experience.
- Strategic planning support: Partner with the Operations Manager and leadership team on new initiatives and company-wide rollouts.
- Systems management: Oversee practice management software, billing, and scheduling, ensuring consistency across our growing number of locations.
- Build scalable standards: Create and refine SOPs that grow seamlessly with the business.
- Cross-functional collaboration: Liaise with practitioners, team leaders, and cluster managers to ensure smooth, connected operations.
- Problem-solving: Maintain a solutions-focused, collaborative approach to overcoming operational challenges.
