For over 65 years, Lantrak has provided materials management, material supply and disposal, truck hire and plant hire solutions to the construction industry. Operating across Victoria, Queensland and New South Wales, we partner with Tier 1 contractors, civil contractors, builders and developers to deliver works across major infrastructure, civil construction and commercial developments.

About the Role

We’re looking for an experienced Contracts Administrator to support the commercial management and delivery of our major project contracts. Reporting to the Division Manager, you’ll administer Lantrak’s contracts with clients and subcontractors, manage variations, prepare pricing and monthly progress claims, and support project scheduling and cost tracking. Working closely with our project, operations and customer service teams, you’ll ensure the work we deliver is accurately recorded, claimed and paid. You’ll understand our contractual obligations, keep on top of notice periods and supporting documentation, and identify changes in scope before they become commercial issues. This role would suit someone who understands contracting within civil construction or infrastructure and is comfortable working through the detail of rates, quantities, scope, program changes and claims.

Key Responsibilities

  • Administer client contracts, subcontracts and associated commercial documentation across major projects.
  • Review contract terms, scope, schedules of rates and payment conditions, identifying key obligations, risks and deadlines.
  • Prepare and submit monthly progress claims, ensuring quantities, rates and supporting records accurately reflect completed works.
  • Work with operations and finance to reconcile dockets, quantities, invoices and project records to support claims and resolve discrepancies.
  • Identify, price, submit and track variations, including changes to scope, quantities, access, sequencing and project timeframes.
  • Prepare quotations and pricing submissions for additional works, material movements, supply, disposal, truck hire and plant hire requirements.
  • Track claim assessments, payment schedules and outstanding amounts, following up discrepancies and disputed items with clients.
  • Support project scheduling by coordinating contractual milestones and client requirements with project and operational teams.
  • Monitor project costs, committed expenditure and revenue, contributing to monthly reporting and forecasts.
  • Maintain contract registers, correspondence, notices, approvals and variation records.
  • Assist with subcontractor engagement, review subcontractor claims and confirm charges align with agreed terms and completed works.
  • Work with the Division Manager to resolve commercial issues and negotiate practical outcomes that protect Lantrak’s contractual position.

About You

You’re organised, commercially minded and comfortable following up the detail. You understand that clear records, timely notices and accurate claims are essential to getting paid for the work delivered. You’ll ideally bring:

  • At least three years’ experience in contracts administration or a similar commercial role within civil construction, earthworks, infrastructure or a related contracting business.
  • Experience administering contracts as a subcontractor or specialist contractor to Tier 1 or principal contractors.
  • A sound understanding of contract terms, schedules of rates, variations, progress claims and payment processes.
  • Experience preparing pricing, tracking project costs and supporting project scheduling.
  • The ability to interpret scopes of work and reconcile quantities, rates and operational records.
  • Strong communication and negotiation skills, with confidence dealing with client commercial teams, project managers and subcontractors.
  • Strong Excel skills and confidence using project, finance or contract management systems.
  • A degree or diploma in construction management, quantity surveying, commerce, law or a related field, or equivalent relevant experience.
  • Experience in materials management, bulk earthworks, spoil removal, transport or plant hire will be highly regarded.

Why Join Lantrak?

  • Take ownership of contract administration across a varied major projects portfolio.
  • Work directly with the Division Manager and experienced project and operational teams.
  • Gain exposure to major infrastructure and civil construction projects.
  • Contribute to pricing, commercial decisions and project outcomes within an established national business.

If you understand the commercial side of contracting and can keep contracts, variations and claims moving, we’d like to hear from you.
