Administration Assistant - Work From Home
JRS Air is a small, family-owned air conditioning business servicing the Illawarra. We're looking for an experienced, organised and reliable administration assistant to help manage our day-to-day office tasks and keep our jobs running smoothly. You'll work directly with the business owner and communicate with our customers, technicians and suppliers.
Key responsibilities
Answering customer phone calls, emails and enquiries professionally.
Collecting customer details, property addresses and job requirements.
Booking quotes, site visits, installations and service appointments.
Managing the job calendar and coordinating bookings with technicians.
Confirming appointments and keeping customers updated.
Preparing and sending quotes using information provided by the owner.
Following up outstanding quotes and recording customer responses.
Preparing invoices and following up outstanding payments.
Creating and updating customer records and jobs in ServiceM8.
Liaising with suppliers about pricing, orders, stock and deliveries.
About you
Has at least two years of administration experience.
Is organised, proactive and comfortable working independently.
Has a friendly phone manner and strong written communication skills.
Can prioritise tasks and follow them through to completion.
Is confident using email, Excel and online business systems.
Has experience with ServiceM8, or is comfortable learning it.
Has a reliable computer, internet connection and a quiet workspace.
Handles customer and business information confidentially.
