Why You’ll Love This Role

Looking for a high-trust, low-ego executive partnership where your administrative brilliance is genuinely valued? We are seeking an astute, proactive Executive Assistant / Personal Assistant to partner directly with a down-to-earth CEO and executive leadership team at a leading national peak professional health association. This isn't a micromanaged administrative job—it is a pivotal, trusted role where you will enjoy genuine autonomy, flexible hybrid working options, and a warm, collaborative team culture that actively respects your work-life balance.

The Impact You’ll Make

As the CEO's right hand, you will keep executive operations, board logistics, and governance running like clockwork.

  • Executive Partnership: Serve as a strategic gatekeeper—managing busy diaries, prioritising inboxes, and proactively anticipating operational needs before they arise.
  • Board & Committee Governance: Drive end-to-end governance administration across multiple committees, including drafting polished board packs, preparing agendas, recording concise minutes, and maintaining board portal platforms (BoardEffect).
  • Logistics & Travel: Seamlessly coordinate travel arrangements, itineraries, and meeting logistics for the CEO and board members.
  • Policy & Document Control: Maintain policy tracking matrices, assist with document updates, and oversee accurate compliance record-keeping.

What You Bring

You are a sharp, organised, and confident executive support professional who takes pride in high attention to detail, confidentiality, and calm efficiency.

  • Proven Experience: 3+ years providing executive support at a PA or EA level (experience within a peak body, membership association, or Not-for-Profit environment is highly regarded).
  • Governance Expertise: Strong hands-on experience supporting boards and committees, including minute-taking and board pack assembly.
  • Technical Proficiency: Comfortable learning and managing board portals, document management systems, and office suites.
  • Communication & Discretion: Exceptional written skills, emotional intelligence, and unwavering discretion when handling sensitive information.
  • Mindset: Self-driven, collaborative, and naturally inclined to stay two steps ahead.

What’s on Offer

  • Salary: $85,000 + Super
  • Flexibility: Hybrid work model split between home and a modern, centrally located Melbourne CBD office right near public transport.
  • Environment: A supportive, purpose-driven culture with predictable hours and a true focus on well-being.
