CBC Group is an agile Facilities Maintenance business with a national footprint. We currently have an exciting opportunity for a Senior Facilities Administrator to join our supportive team in Port Kembla, NSW.

About the Role

This is a senior role at the centre of our facilities administration team, known as the Admin Hub. Reporting to the Administration Manager, you'll help lead the day-to-day administration and invoicing across several client contracts. You'll guide a team of administrators and help shape how we work as we keep improving, especially when transitioning new and existing contracts into the Admin Hub. If you like leading people, have a sharp eye for numbers and enjoy making processes run better, this is the role for you.

Specifically, you will:

  • Help Lead the Team: Give clear direction, support and coaching to Facilities Administrators and admin resources, and keep workloads and priorities on track.
  • Own the Invoicing Workflow: Make sure client invoices are accurate, on time and in line with contract terms. Keep WIP and unbilled work moving.
  • Keep the Data Clean: Be a senior user of our CMMS and financial systems, keeping contract, site and work order information accurate and consistent.
  • Turn Data into Insight: Prepare and present clear reports on invoicing, WIP, contract performance and KPIs for managers and clients.
  • Drive Improvement: Find ways to simplify workflows, strengthen controls and lift efficiency across the business.
  • Step Up When Needed: Act as backup to the Administration Manager and support new contract mobilisations.

About You

You're a confident, detail-focused leader who thrives in a busy, multi-contract environment. You will bring:

  • Senior Admin Experience: A strong background in senior administration, ideally in facilities management, maintenance or property services.
  • Leadership Skills: Proven experience supervising admin staff and managing workloads and deadlines.
  • Financial Know-How: Hands-on experience with invoicing, billing, work orders, purchase orders and WIP.
  • Excel Expertise: Advanced Excel skills, including formulas, pivot tables, reconciliation and reporting. Power BI or Power Query experience is a big plus.
  • Systems Savvy: Experience with CMMS, financial systems or similar platforms.
  • People Skills: Excellent communication skills and the ability to build strong relationships with clients, contractors and internal teams.

Requirements

  • A National Police Check (or willingness to obtain one)
  • General Construction Induction (White Card) is desirable
