Job Title: Administrative Assistant (Onsite - 5 Days/Week)

Location: Redmond, WA (Onsite - 5 Days a Week)

Position Type: Full-Time Contract (40 hours/week, M-F, standard core hours, no OT)

About the Role

We are seeking a high-energy, confident, and proactive Administrative Assistant to join a fast-paced, global engineering team focused on cutting-edge AI and advertising technologies.

This is a vital, 100% onsite role designed for someone who thrives in a bustling team environment and loves a job where no two days are the same. You will act as the crucial "boots on the ground" support, handling essential physical and administrative tasks that our remote team members cannot complete.

The ideal candidate possesses strong boundary-setting skills, understands their own bandwidth, and has the confidence to navigate and manage complex, executive-level calendars.

Key Responsibilities

  • Onsite Operations: Provide daily, high-visibility support for a large team environment. This includes handling physical onsite tasks (such as organizing hardware, setting up workspaces, and moving equipment/carts as needed).
  • Calendar Management: Masterfully coordinate and manage complex, fast-changing schedules and calendars for leadership.
  • Onboarding & Offboarding: Facilitate the welcoming of new hires and the offboarding process for departing team members, ensuring a seamless experience.
  • Office & Space Management: Manage department facility operations, track space allocation, and maintain a highly organized office environment.
  • Event Coordination: Plan and execute team morale events, internal meetings, and local group gatherings.
  • Cross-Team Collaboration: Partner closely with remote administrative staff and Executive Assistants to keep global operations running smoothly.

What We Are Looking For

  • Experience: Minimum of 2 years of experience in administrative support, office management, or a highly active customer service role.
  • Technical Proficiency: At least 2 years of dedicated experience managing professional calendars, alongside strong proficiency in standard office productivity suites (specifically Outlook and Excel).
  • High Accountability & Honesty: We value integrity above all else. We are looking for someone who owns their mistakes, learns from them, and communicates transparently.
  • Speed & Responsiveness: This is a large, rapidly moving engineering organization. You must be able to act quickly, prioritize effectively, and maintain accuracy under tight deadlines.
  • Assertiveness: The confidence to manage high-level schedules, know your boundaries, and comfortably say "no" when bandwidth limits demand it.
  • Reliability: Proven track record of steady, long-term tenure in previous roles (candidates with a history of frequent job-hopping will not be considered). Reliable transportation for daily onsite attendance is required.

Qualifications

  • 2+ years of relevant experience in Office Management, Customer Service, and Calendar Management.
  • No specific degree or certification is required; your hands-on experience, work ethic, and attitude matter most!

Screening & Interview Process

  • Timeline: Panel interviews will be scheduled swiftly following resume review. Candidates should be prepared to speak deeply on their prior administrative and onsite support experience.
