About us

Hub Link Transport is a national refrigerated and food distribution operator delivering for QSR and food retail customers across QLD, NSW, VIC and WA. We hold NHVAS Maintenance Management accreditation, and our fleet compliance is central to how we operate.

About the role

Reporting to the National Compliance Manager, you'll coordinate the end-to-end maintenance compliance of our national heavy vehicle fleet. This is an office-based administration, monitoring and escalation role. You won't be on the tools or booking jobs yourself. Your job is to make sure every service, pre-start, defect and repair is tracked, escalated to the right State Manager, completed on time and closed out with the right paperwork.

What you'll do

Monitor service intervals and maintenance schedules for all vehicles and trailers, and escalated upcoming services to State Managers so they're booked on time

Monitor daily pre-start compliance and escalated missed or incomplete checks

Log and manage failed pre-starts and DVRs through to repair and close-out, in line with NHVAS Maintenance Management requirements

Use the PO Register to follow up service and repair invoices, reset service intervals and close out defects

Be the first point of contact for our workshops, repairers and suppliers

Monitor vehicle and trailer registrations and make sure renewals happen before expiry

Manage fleet damage insurance claims from notification through to closure

Keep accurate, audit-ready maintenance records, and support internal reviews and NHVAS audits

Report weekly and monthly on fleet compliance KPIs

About you

2+ years' experience in fleet administration, maintenance coordination or transport compliance (heavy vehicle experience essential)

Working knowledge of NHVAS Maintenance Management and HVNL requirements

Highly organised, with strong attention to detail and record-keeping

Confident following up and escalating with managers and service providers

Strong Excel skills; experience with fleet, telematics or maintenance systems is a plus

Experience with insurance claims is highly regarded

National role with a direct line to the National Compliance Manager

Stable, growing national operator
