Administration Assistant / Receptionist – 12-Month Parental Leave Cover
We're looking for a switched-on Administration Assistant / Receptionist to cover a 12-month parental leave period in our Dandenong South office. You'll be the first point of contact for our clients and the glue between our sales, estimating and operations teams.
Key responsibilities
- Run reception – answer phones, greet visitors, and direct enquiries to the right person
- Screen and qualify incoming leads, and capture the details our estimators need
- Enter jobs and client details accurately in our job management system (ServiceM8)
- Keep job notes and correspondence up to date
- Manage compliance paperwork – SWMS, Certificates of Currency, and client portals such as Avetta and Sams4Schools
- Liaise with clients, estimating, operations and our factory to keep jobs moving
About you
- Confident, friendly phone manner and clear written communication
- Highly organised, with strong attention to detail
- Comfortable juggling a busy front desk and a steady flow of admin
- Previous reception or office administration experience preferred – construction or trade experience a bonus
- ServiceM8 or similar job management software experience is an advantage (training provided)
- Reliable, team-minded and keen to get stuck in
