The Role

We're looking for a Business & Project Coordinator to join our Melbourne team, working closely with our Client Relations & Business Development Manager and senior leadership. You'll work across the commercial, creative, technical and project delivery sides of the business, helping coordinate activity, connect teams and support a range of projects and initiatives. It's a varied role with plenty of exposure to how Girraphic operates, both locally and across our global business.

We're looking for someone who's organised, proactive and curious about how things work, with an interest in taking on more responsibility as they develop their understanding of the business. The role is full-time and based in our Melbourne office, with occasional non-traditional hours and travel depending on project requirements.

If your CV doesn't perfectly match everything below, don't let that put you off. We're interested in how you think, how you work and your willingness to learn.

What you will do:

  • Provide coordination support to the Client Relations & Business Development Manager across projects and wider business activity.
  • Track project actions, deadlines and deliverables, following up where needed.
  • Liaise with Project Management, Creative, Technical and operational teams to support effective collaboration.
  • Assist with project planning, resourcing, scheduling and logistics.
  • Prepare meeting notes, presentations, trackers and other business documentation.
  • Support proposals, tenders, client activity and business development initiatives.
  • Maintain accurate, accessible project and business records.
  • Take ownership of tasks and responsibilities as you get to know the business.
  • Provide practical support to the wider team as business needs evolve.

Who you are:

  • Highly organised, proactive and comfortable juggling competing priorities.
  • A clear and confident communicator, both written and verbal.
  • Someone who takes initiative and follows through on commitments.
  • Comfortable working with different personalities, teams and levels of seniority.
  • Curious about how businesses operate and how different functions fit together.
  • Able to work independently while recognising when to ask questions or seek direction.
  • Detail-oriented, with an ability to see the bigger picture.
  • Calm under pressure and adaptable when plans change.
  • Motivated to learn, develop new skills and take on greater responsibility.
  • Experience in project coordination, business administration, operations or a similar role.
  • Exposure to creative, production, technology, media or live events environments.
  • Familiarity with project management or collaboration tools.
  • An interest in broadcast, live sport, design, technology or visual storytelling.
  • Experience working across multiple teams or stakeholders.
  • An interest in developing a career beyond traditional administration or coordination.
