The Role
Sitting at the centre of customers, suppliers and the installation team, you’ll take ownership of orders once the Sales team has completed the sale.
The majority of the workload relates to blind orders, managed through supplier ordering portals and systems. A smaller volume of shutter orders is managed and tracked through spreadsheets and Google Sheets.
You’ll keep everything moving from order through to payment, scheduling and installation.
Your day will include:
- Managing and tracking customer orders from sales handover through to installation
- Placing and monitoring orders through supplier portals
- Maintaining accurate spreadsheets, Google Sheets and order records
- Liaising with suppliers and following up outstanding orders and delivery dates
- Contacting customers when their orders arrive
- Arranging and confirming customer payments before installation proceeds
- Coordinating customer availability, installer schedules and appointments
- Checking in with installers daily to confirm progress and follow up outstanding actions
- Managing changes or delays and keeping customers informed
- Coordinating warranty claims, remakes and after-sales issues
- Completing supplier and warranty documentation
- Following customer and order issues through to resolution
Friendly, Professional — and Comfortable Holding Your Ground
An important part of this role is upholding the requirement that payment is received before installation proceeds.
You’ll need to communicate this clearly and calmly, including when customers push back or request an exception.
If you’re comfortable saying, “I’m happy to arrange your installation as soon as payment has been received,” and following through, you’ll be well suited to this part of the role.
About You
We’re looking for someone who:
- Has solid customer service and administration experience
- Is confident, proactive and highly organised
- Is comfortable using Excel, spreadsheets and Google Sheets
- Picks up new systems and supplier portals quickly
- Can manage competing priorities without losing track of the details
- Communicates clearly with customers, suppliers and installers
- Handles difficult conversations calmly and professionally
- Follows up outstanding matters without waiting to be asked
- Can work independently and take ownership of issues through to resolution
Experience in blinds, shutters or window furnishings would be highly regarded. Experience coordinating trades, technicians, installers, field service teams or customer orders would also translate well.
This assignment will suit someone who enjoys being busy, likes taking ownership and gets satisfaction from keeping customers, orders and schedules moving.
