We are a fast-paced retail and commercial signage installation business managing large-scale national rollouts coordinating up to 100 field contractors across multiple locations. We need an expert to build, test, and implement a robust project management system using monday.com or similar no code software. You will take our operational chaos and turn it into a streamlined machine, allowing our 4 office staff to easily dispatch jobs, track live photo proof from the field, and manage contractor capacity without administrative headaches.

The role will be on a contract basis with a 3 month planned timeframe. Working remotely you will need to be based in Brisbane or the Sunshine Coast and have the ability to travel to conduct face to face meetings with our project managers. Some interstate travel will be required to visit clients to conduct face to face discovery sessions.

Key responsibilities

  • Design and build a comprehensive scheduling and CRM tool using no or lo code software such as monday.com, airtable or similar to coordinate multiple field contractors across various locations, including live multi-contractor scheduling, automated delivery of detailed briefs, and real-time management of scope updates.
  • Integrate a simplified contractor mobile interface for status updates, photo uploads, and notes, alongside a secure client portal for viewing live project progress.
  • Integrate the workflow platform with Xero accounting software.
  • Conduct local face-to-face discovery workshops and manage a live contractor field test.
  • Intensively train project managers to operate and maintain the system confidently before the 3-month contract concludes.
  • Design and deploy a centralized workflow management system ensuring 4 office staff can manage large-scale, multi-location installations efficiently.
  • Ensure accurate tracking of contractor capacity and provide immediate, quality-controlled visual updates to clients.

About you

  • Proven experience building complex boards, formulas, and dashboards in monday.com (Pro/Enterprise level) and other no code software options.
  • Familiarity with monday.com integrations such as Twilio, ClickSend, Outlook/Gmail, or Formstack.
  • A practical, problem-solving mindset with understanding of how to make technology simple for field workers who aren't tech-savvy.
  • Excellent communication skills to train and liaise with office team and customers.
