The Finlay Group is one of Australia's largest suppliers of mobile screening, crushing, and mineral washing equipment. Based out of our busy Head Office in Burpengary, our team thrives in a fast-paced, supportive environment where no two days are the same.
The Role
We are seeking a versatile and organised Administration Officer to keep our office, supply chain and service operations running smoothly. In this varied role you will play a key part in coordinating equipment imports/exports, assisting with the processing of accounts and hire invoicing along with supporting our service and maintenance teams.
Key Responsibilities
- Import & Export Coordination: Manage import/export documentation with customs brokers, monitor shipment arrivals, and coordinate transport of machinery from ports to Finlay depots.
- Accounts, Hire & Recharges: Assist accounts payable when required, process hire invoices, and manage customer recharges for on-site service labour and travel expenses.
- Maintenance & Fleet Support: Track and file machinery oil sample analysis reports, flagging any abnormal wear or maintenance recommendations for the service team, alongside managing fleet vehicle bookings.
- General Administration: Handle phones, running errands, raise orders/invoices, prepare quotations and assisting with booking travel.
What You Need to Succeed
- Proven experience in a busy administration, accounts, or logistics/coordination role.
- Strong proficiency in MS Office (Word, Excel, Outlook) is a must.
- SAP B1 experience is an advantage.
- Excellent organizational skills and the ability to manage multiple priorities under pressure.
- Strong communication and interpersonal skills.
- A current driver's licence.
