Join an Established Civil Construction Company with Over 40 Years of Experience

Etheredge Mintern is a well-established civil construction company with over 40 years of experience delivering quality infrastructure projects throughout Melbourne and Victoria.

We specialise in road reconstruction, drainage, earthworks, car parks, civil infrastructure and local government projects.

With a strong pipeline of projects and continued growth, we are seeking an experienced, motivated and highly organised Project Coordinator to join our team.

This is an excellent opportunity for someone who enjoys working in a fast-paced construction environment, takes ownership of their responsibilities and wants to play an important role in the successful delivery of multiple civil construction projects.

About the Role

Working closely with our Construction Manager, Project Managers and site teams, you will provide essential coordination and administrative support across multiple projects.

You will be responsible for ensuring project documentation, subcontractor arrangements, procurement, compliance requirements and general project administration are managed efficiently and accurately.

We are looking for someone who is proactive, organised and capable of identifying what needs to be done without constantly being directed.

Key Responsibilities

  • Coordinate day-to-day project administration across multiple civil construction projects.

  • Assist Project Managers and the Construction Manager with project planning, scheduling and delivery.

  • Coordinate subcontractors, suppliers, plant hire, material deliveries and site requirements.

  • Prepare, maintain and manage project documentation, including SWMS, permits, insurances, certifications and compliance records.

  • Assist with the preparation and tracking of construction programmes.

  • Monitor project progress, upcoming milestones and outstanding actions.

  • Assist with procurement, purchase orders and subcontractor documentation.

  • Maintain accurate records of site activities, variations, delays and project correspondence.

  • Liaise with clients, councils, subcontractors, suppliers and internal construction teams.

  • Assist with progress claims, variations and project cost tracking.

  • Ensure project documentation is submitted within required timeframes.

  • Identify potential project issues and assist with implementing practical solutions.

  • Support the continuous improvement of internal systems and project delivery processes.

About You

To be successful in this role, you will ideally have:

  • Previous experience in a Project Coordinator, Project Administrator or similar role within civil construction or the broader construction industry.

  • A good understanding of construction processes, project documentation and site operations.

  • Excellent organisational skills and the ability to manage competing priorities.

  • Strong written and verbal communication skills.

  • Confidence dealing with subcontractors, suppliers, clients and site personnel.

  • Strong attention to detail and the ability to maintain accurate project records.

  • Proficiency in Microsoft Office, particularly Excel, Word and Outlook.

  • The ability to work independently, take initiative and follow tasks through to completion.

  • A practical, solutions-focused approach to problem-solving.

  • A positive attitude and willingness to work as part of a team.

Experience in civil infrastructure, roadworks, drainage or local government projects will be highly regarded.

What We Offer

  • A permanent, full-time position with an established and respected civil construction company.

  • Competitive remuneration based on experience.

  • A supportive, experienced management team.

  • Exposure to a diverse range of civil infrastructure projects.

  • The opportunity to take ownership of your role and make a genuine contribution to the business.

  • Long-term career stability and opportunities for professional development.

  • A friendly, practical and team-oriented working environment.
