The Administration Officer is responsible for managing and processing company credit card transactions, employee reimbursements, and WebCost administration. This role ensures compliance with company policies, accurate record-keeping, and timely processing of financial transactions to support operational efficiency.
Role Responsibilities
- Process and reconcile company credit card transactions.
- Ensure receipts and supporting documentation are collected and verified.
- Monitor compliance with company credit card policies.
- Ensure credit cards expenses are enter in time
- Review and process employee expense claims in accordance with policy.
- Validate supporting documentation and approvals.
- Ensure timely reimbursement to employees.
- Reconciliation of Accounts Payable accounts
- Maintain and update WebCost system data accurately.
- Assist with cost allocation and coding for projects and departments.
- Generate reports and provide support for cost analysis as required.
- Autoposting: Ensure timely autoposting of approved invoices and expenses.
- Adding Staff: Create and maintain staff profiles in WebCost for accurate cost allocation.
- Prepare daily COD payments reports
- Respond to queries related to credit cards, reimbursements, and WebCost.
- Liaise with Finance team and other departments to resolve discrepancies.
- Maintain accurate records and filing systems.
- General assistance to finance department as and when required.
- Need to assist other team members when required
