What You'll Do

  • Manage and maintain client files and correspondence throughout the conveyancing process
  • Conduct property searches and assist with preparing contracts, settlement figures and legal documentation
  • Liaise with clients, real estate agents, lenders, solicitors and brokers to keep transactions on track
  • Enter and manage data in PEXA, triConvey and internal business systems
  • Assist with reviewing property searches, land title checks and other relevant documentation
  • Work independently and within a team to meet deadlines in a fast-paced, detail-driven environment
  • Be a vital part of the team supporting successful, compliant settlements across VIC
  • Assist other teams as required during high-volume months or periods of leave

What You'll Bring

  • Experience in a conveyancing, legal assistant or administrative support role
  • Tech-savvy β€” confident using multiple digital platforms and software (triConvey or Smokeball highly regarded, not essential)
  • Strong attention to detail and the ability to prioritise competing tasks with confidence
  • A proactive mindset, willingness to learn and a strong sense of accountability
  • Excellent communication skills and a team-first attitude β€” communication is crucial in conveyancing
  • Ability to organise and manage multiple files simultaneously, meet deadlines and exceed client expectations
  • A strong telephone manner to build positive, engaging relationships with clients and colleagues
  • A desire to contribute to a workplace that values support, collaboration and continuous growth

Why Join Us?

  • $75,000–$80,000 + super, plus a monthly performance-based bonus (after qualifying period)
  • Friendly, collaborative and high-performing team culture with a strong industry reputation
  • Career development opportunities, including internal promotion pathways
  • Convenient St Kilda location, with a move to Melbourne CBD planned for late 2026
  • On-Site role with 2 days per week WFH available once you've completed probation, this is not a fully remote position
  • Access to our Employee Assistance Program and regular team engagement activities
  • Immediate start available for the right candidate
