Are you the person who turns chaos into calm with a well-placed checklist? Clarity Dental Care is looking for an experienced, methodical Administrator to become the backbone of our close-knit practice on the Mornington Peninsula. This isn't just admin — it's about keeping everything running smoothly and solving problems before they become headaches. No dental background needed; we'll teach you the rest. Just bring genuine administrative talent, an eye for detail, and a can-do attitude.

About Us

We are a close-knit, patient-focused dental practice located in Mornington, dedicated to providing exceptional care in a welcoming environment. As a small team, we value smooth operations, clear communication, and a positive atmosphere for both our patients and our staff.

The Role - Part time - Flexible with Days and Times

We are seeking an organised, highly methodical, and proactive Administrator to keep our day-to-day operations running like clockwork.

This is a genuine problem-solving role—we're looking for someone who enjoys wearing multiple hats, creating efficient systems, and tackling challenges before they become headaches. If you thrive on order, love a good checklist, and bring a calm, solution-oriented mindset to a busy office, you'll fit right in.

What You'll Be Doing

Daily Operations: Manage administrative tasks, reports, and service scheduling to ensure maximum efficiency and minimal downtime.

Problem Solving: Act as the main troubleshooter for administrative hiccups, billing queries, or software issues.

Appointment Scheduling: Support patient scheduling and recall systems as a secondary part of your role.

Financial Admin: Handle patient billing, health fund claims processing (e.g., HICAPS/Dental software), and basic accounts tracking.

Process Improvement: Identify gaps in our current administrative processes and implement neat, methodical systems to improve team efficiency.

Records & Compliance: Maintain accurate patient records, ensure patient confidentiality, and keep practice documentation up to date.

What We're Looking For

A Methodical Mindset: You are naturally detail-oriented, structured, and take pride in neat, accurate work.

Proven Problem-Solving Ability: You stay calm under pressure, think logically, and find practical solutions when things don't go to plan.

Strong Administrative Background: Dental or medical experience isn't essential—what matters most is that you're a genuinely great administrator with a willingness to learn our industry. We'll provide full training to help you get up to speed.

Tech-Savvy: Comfortable navigating standard office software, with a good typing speed to keep pace with a busy front desk.

Great Communicator: Warm, empathetic, and clear in both verbal and written communication.

Why Join Us?

Impact: As a key member of a small team, your work directly shapes the success of the practice and the experience of our patients.

Supportive Culture: Work alongside a friendly, collaborative team that appreciates initiative and structured thinking.

Work-Life Balance: consistent weekday hours and no weekends!
