Project Manager: Entity Establishment & Operational Readiness 6-month fixed-term contract | North Sydney / Hybrid | $157,773 package
The opportunity
Our client is establishing a new entity in Rome and needs a hands-on Project Manager to get it over the line. Plenty of work is already underway across legal, tax, finance, governance and operations, with Rome stakeholders and external advisers involved. What’s missing is a single, reliable view of where things stand and someone to drive the remaining work to completion.
You’ll bring everything together into one integrated plan, secure commitments from senior owners, and make sure decisions and actions are followed through. You won’t replace the specialists. They keep responsibility for their technical advice and deliverables, and you connect their work, expose dependencies and keep everyone accountable.
What you’ll do
- Establish the baseline: Review existing approvals, plans and adviser activity, and confirm priorities and the intended outcome with the Global Business Lead. Speak with workstream leads, Rome stakeholders and advisers to validate what’s complete, in progress, awaiting a decision or not started, and the evidence behind it. Identify missing owners, dependencies and early risks.
- Own the integrated plan: Build and maintain one Gantt chart covering all remaining workstreams and the critical path. Record owners, dependencies, due dates, completion evidence and escalation requirements. Refresh it weekly, assess the impact of delays and put recovery pathways in place.
- Drive decisions and reporting: Set up a proportionate meeting rhythm with the Global Business Lead. Issue action and decision records promptly, keep a linked decision, risk, issue and dependency log, and deliver concise weekly reports to the sponsor. Escalate non-delivery, unclear ownership and delayed decisions through the agreed pathway.
- Land readiness and handover: Coordinate evidence that establishment and operating conditions have been met. Make sure unresolved matters are formally accepted, deferred or assigned, confirm ongoing statutory, governance, financial and operational obligations and their owners, and deliver a close-out and handover summary.
About you
- Proven experience leading time-critical, cross-functional projects with senior stakeholders
- Advanced skills in Gantt development, critical-path analysis, dependency management and milestone control
- Strong interviewing and facilitation skills, with the ability to establish a reliable status position quickly
- Confident securing commitments and holding senior owners to account respectfully
- Sound political judgement, diplomacy, and a clear sense of when to escape
- Experience working alongside legal, tax, finance and governance specialists without duplicating their roles
- Able to start promptly and see the project through to operational readiness
- Desirable: entity establishment, international operations, or experience in universities or similarly regulated organisations
