As our business continues to grow, we are seeking a reliable, organised and proactive Receipt & Dispatch Coordinator to join our Yard Operations team at Gillman.
About the Role
This is a hands-on, varied position suited to someone who enjoys working in a busy yard environment and takes pride in keeping operations running smoothly.
Reporting to the Maintenance Manager, you will be responsible for coordinating the receipt, inspection, storage, preparation and dispatch of equipment and materials.
You will play an important role in ensuring equipment is received, inspected, prepared and dispatched safely, efficiently and on time.
Key Responsibilities
Equipment Receipt & Dispatch
Coordinate the safe unloading and receipt of incoming equipment, machinery and materials.
Check deliveries against relevant documentation and hire schedules.
Prepare, stage and load equipment for dispatch in accordance with customer orders and transport schedules.
Complete final checks to ensure equipment is clean, safe and ready for hire or transport.
Ensure all relevant paperwork and compliance documentation is completed accurately.
Equipment Inspections & Maintenance Support
Inspect returned equipment for damage, missing components or maintenance requirements.
Report faults and raise maintenance work orders as required.
Assist the maintenance team with equipment preparation, cleaning and general support duties.
Yard Operations & Forklift Duties
Operate forklifts to safely load, unload and move equipment and materials.
Conduct daily forklift pre-start inspections.
Coordinate vehicle and equipment movements throughout the yard.
Maintain safe and efficient traffic flow for delivery trucks, customers and staff.
Assist with the coordination of wash bay activities.
Ensure equipment and materials are stored correctly and safely.
General Yard & Customer Support
Maintain a clean, safe and well‑organised yard.
Assist drivers and customers with loading and unloading equipment.
Provide guidance to customers collecting equipment where required.
Identify and report hazards, equipment faults and safety concerns.
Assist with general yard and operational duties as required.
About You
We are looking for someone who is practical, dependable and capable of working independently while contributing to a busy team environment.
To be successful in this role, you will have:
A current forklift licence (LF) – essential or willing to obtain.
Previous experience in yard operations, transport, logistics, equipment hire or a similar hands-on role (highly regarded).
Good organisational skills and strong attention to detail.
A sound understanding of workplace health and safety practices.
Confidence operating forklifts and handling equipment safely.
Basic computer skills and the ability to complete paperwork and work orders.
Good communication skills and a positive, customer-focused attitude.
The physical capability to undertake manual handling and general yard duties safely.
A proactive attitude and willingness to assist wherever required.
Experience working with elevated work platforms (EWPs), construction machinery or hire equipment will be highly regarded.
