We are looking for a detail-oriented Purchasing & Data Administrator to join our team and support the purchasing and inventory functions of our national business.
This is a hands-on role ideally suited to someone who enjoys working with data, has excellent Excel skills and takes pride in accuracy, organisation and getting the details right.
This position is heavily focused on Excel analysis of Inventory, master data maintenance and data entry, with additional responsibilities supporting purchasing administration and liaising with our branches and suppliers.
About the Role
- Maintaining and updating product, supplier and inventory master data.
- Preparing, updating and analysing Excel spreadsheets and reports to support purchasing decisions.
- Extracting, reconciling and validating data to ensure accuracy.
- Processing data uploads and maintaining records within Net Suite.
- Entering and updating purchase orders/ creating inbound shipments
- Managing ETA’s on incoming orders
- Liaising with branches regarding stock requirements and order updates.
- Contacting suppliers to place orders, confirm deliveries and follow up outstanding orders.
- Coordinate back orders and special order items
- Providing general administrative support to the Purchasing and Inventory Team.
- Regular reporting to Management
About You
We are looking for someone who is methodical, analytical, reliable and extremely detail-oriented.
To be successful, you must have
- A minimum of 3 years' experience in a similar administration, data, purchasing or inventory support role.
- Very strong Microsoft Excel skills — including VLOOKUP/XLOOKUP, Pivot Tables, formulas and working with large datasets.
- Excellent analytical and numerical skills.
- Exceptional accuracy and attention to detail.
- Strong organisational and time management skills.
- The ability to follow direction, established procedures and instructions.
- Confidence working with large volumes of information and maintaining accurate records.
- Good communication skills and a professional approach when dealing with suppliers and internal teams.
- The ability to manage multiple tasks and meet deadlines.
- Experience with Net Suite or another ERP system, purchasing administration or inventory management would be highly regarded.
