The role ensures veterans and patients experience an efficient, professional and well-organised clinic, and works in close partnership with the Senior Operations Manager and the Clinical Manager to align non-clinical operations with clinical service delivery, compliance and accreditation requirements. The Practice Manager leads the clinic's administration and reception team, while clinical staff remain under the leadership of the Clinical Manager.

Key responsibilities

  • Ensure the practice management software is used accurately and consistently across the reception and administration team, and manage recall, reminder and DVA referral intake processes with the clinical team.
  • Monitor clinic revenue, expenditure, billing efficiency and claiming performance.
  • Contribute to budget development, financial forecasting and achievement of operational performance targets.
  • Lead the administration and reception team - training, performance, and day-to-day support - in partnership with Clinical Manager.
  • Lead recruitment, onboarding and retention activities for reception and administration staff, including workforce planning, succession planning, induction and performance development processes.
  • Monitor staffing levels and rostering requirements to ensure adequate clinic coverage, service continuity and operational efficiency.
  • Manage Medicare, DVA and private billing, claiming and reconciliation, and support procurement within delegated authority.
  • Coordinate day-to-day facility operations - maintenance, equipment and suppliers - and share responsibility for WHS across the clinic environment with the Clinical Manager.
  • Keep administrative processes - records, billing, correspondence - compliant with privacy legislation, AVHS policy and AGPAL/RACGP accreditation requirements.
