Office Administrator, Accounting Practice

AT Business Advisors is a chartered accounting and financial advisory firm based at Norwest Business Park. We look after business owners, families, and their related entities across tax, compliance, and advisory work.

About the role

This is a broad administration role supporting the accounting team and the principals. You will keep client jobs moving through our workflow, manage compliance correspondence and deadlines, look after clients from first contact through to document signing, and handle the day to day administration of the office.

We are a small team, so you will not be closely supervised on routine work. We are looking for someone who can pick up a task, work out what needs to happen, and see it through.

What you will be doing

Managing client jobs and due dates through our workflow system (XPM and FYI)

Preparing, collating, and issuing client documents for signing, and following them through to completion

Handling ATO and ASIC correspondence, lodgements, and portal work

Supporting the annual compliance call in cycle, including client contact and follow up

Reception, phones, meeting rooms, and client hospitality

Diary and meeting coordination for the principals

Invoicing support and debtor follow up

Client onboarding: engagement letters, identity verification, and file setup

Maintaining office supplies, equipment, and supplier arrangements

Keeping procedure documentation current as our systems change

What we are looking for

At least 2 years of administration experience within an accounting, bookkeeping, or financial services practice. This one is essential, we need someone who already understands how a practice works

Familiarity with practice management and document management software. We use XPM and FYI, but experience with APS, Karbon, HowNow, or similar is fine

Comfort with ATO and ASIC portals and lodgement processes

Real initiative. You notice what needs doing and you follow it up

The ability to work accurately with limited direction

Confident, professional communication with clients

Strong attention to detail, particularly under deadline pressure

Nice to have

Certificate III or IV in Business Administration

What we offer

Salary of $70,000 to $80,000 plus superannuation, depending on experience

A stable, well-established practice with a supportive team

Support for relevant training and professional development

Varied work across a broad client base

Only applicants with the right to work in Australia will be considered.
