We are seeking a AI Workforce Program Manager to run the operations and rhythm of business for our team.

The ideal candidate is a proactive, highly organized program or project manager with strong business acumen who can connect people, priorities, and insights across a complex environment.

By creating the frameworks, governance, and operational discipline that allow the team to move faster and collaborate more effectively, this role frees leaders and subject-matter experts to focus on innovation, customer impact, and measurable business growth.

A typical day in this role blends team operations, program management, and cross-functional coordination.

The person may begin by reviewing priorities, milestones, risks, and upcoming deadlines, then facilitate team check-ins or working sessions to align owners and next steps.

Throughout the day, they coordinate analytics and web intake requests, maintain project trackers and workback schedules, follow up on dependencies, and turn stakeholder inputs into clear recaps, recommendations, and leadership-ready materials.

They may also support onboarding or change-management activities, improve team processes, and identify opportunities to use Microsoft 365 and AI tools to automate routine work.

Ultimately, the role keeps the team organized, connected, and focused on delivering customer and business outcomes.

Key Responsibilities Include

  • Operational Excellence
  • Establish and maintain rhythm-of-business governance frameworks.
  • Develop and manage comprehensive milestone tracking, workback schedules, and cross-functional dependency mapping.
  • Deliver operational insights, risk assessments, and strategic recommendations.
  • Create and implement process clarity frameworks and operational models.
  • Design and maintain decision tracking structures and project governance mechanisms.
  • Collaboration Enablement
  • Design and implement cross-team workflow and alignment structures.
  • Establish clear ownership models and handoff protocols.
  • Develop facilitation frameworks for working sessions.
  • Define and socialize team collaboration patterns, communication standards, and engagement expectations.
  • Initiative Enablement
  • Design structure and cadence for project reviews, strategic forums, and initiative check-ins. Synthesize inputs into actionable summaries.
  • Create and maintain workback schedules, standardized templates, and centralized initiative tracking systems.
  • Synthesize inputs from multiple stakeholders and data sources into actionable insights.
  • Change Management
  • Provide program management support for team health initiatives.
  • Conduct impact analysis on transitions.

Support change-impact programs during reorgs and role transitions: Identify risks and friction points, recommend steps for operational readiness.

  • Build onboarding guides and two-week ramp plans for new team members (schedules, intro 1:1 lists, meeting adds and resource links), and transfer knowledge to new joiners.
  • Communications and Presentations
  • Develop leadership decks, slide libraries, launch communications drafts and team materials.
  • Coordinate AI-enabled productivity and dashboard initiatives (for example, build team launch email templates and corresponding Cowork skill automation)
  • Required Qualifications
  • 10+ years in program management, business operations or team operations, ideally supporting a marketing, e Commerce or product organization.
  • Proven experience running a rhythm of business for a leader and a team of 8–15+ people.
  • Expert Microsoft 365 skills: Power Point (leadership-quality decks), Excel (trackers), Word, Outlook, Teams, Share Point/Lists, Loop and Planner.
  • Strong written communication, including concise agendas, recaps and action items for senior audiences.
  • Experience managing intake and prioritization processes with multiple stakeholders and hard deadlines.
  • Ability to work Pacific Time business hours.
  • Preferred Qualifications
  • Experience at a large technology company as a vendor or contractor.
  • Familiarity with digital marketing, e Commerce, web operations, analytics (Power BI dashboards, analytics intake and business requirements documentation).
  • Hands-on use of Microsoft 365 Copilot or other AI tools to automate routine work.
  • Experience supporting organizational change, reorgs and onboarding programs.
  • PMP, CAPM or Agile certification is a plus.
