Global Mobility & Employment Services | ANZPEO

Location: Remote – Australia-wide (Greater Sydney preferred)
Employment: Full-time preferred, with flexible hours available
Work arrangement: Fully remote

About ANZPEO
ANZPEO provides Employer of Record (EOR), employment, payroll and global mobility solutions across Australia and New Zealand.

We work with international businesses to help them employ, relocate and manage employees across both countries, providing practical support with employment arrangements, visa sponsorship, payroll and compliance.

We are a growing business with a collaborative, hands‑on team, and we're looking for someone who enjoys taking ownership, building client relationships and keeping things running smoothly.

About the Role
We're looking for a highly organised, proactive and personable Client Services & Project Coordinator to join our team.

This is a varied, client-facing role suited to someone with experience in project coordination, account management, operations or professional services administration.

You'll manage multiple client matters from start to finish, coordinate documentation, communicate with stakeholders, track deadlines and ensure each stage of the process is completed accurately and efficiently.

A significant part of the role will involve coordinating visa and sponsorship applications for clients across Australia and New Zealand. Previous visa or immigration experience is not required. We work closely with external immigration lawyers who provide the specialist advice, while you'll be responsible for coordinating the process and ensuring matters progress smoothly.

You'll report directly to the Director/Founder and work closely with clients, employees, immigration lawyers and our internal HR and payroll teams.

This is a fully remote role, with Greater Sydney preferred. Our head office is on Sydney's Northern Beaches, and occasional travel may be required for interstate employees.

Full-time availability is ideal, although we're open to shorter working days or school-hours arrangements across five days per week for the right candidate.

Key Responsibilities

Client & Account Management

  • Act as a key point of contact for clients, applicants and external service providers.
  • Build and maintain strong, professional client relationships.
  • Manage client enquiries, requests and ongoing communication.
  • Provide regular updates on progress, timelines and outstanding requirements.
  • Proactively follow up with stakeholders to keep matters moving.
  • Deliver a positive, professional and responsive client experience.

Project & Process Coordination

  • Manage multiple client projects and administrative processes simultaneously.
  • Take ownership of matters from initial enquiry through to completion.
  • Coordinate information, documentation, approvals and deadlines.
  • Maintain accurate records and track progress using HubSpot.
  • Identify outstanding requirements, potential delays and necessary follow-up actions.
  • Work with internal and external stakeholders to ensure processes are completed efficiently.

Visa & Global Mobility Coordination

Full training and support will be provided.

  • Coordinate Australian and New Zealand visa and sponsorship matters alongside external immigration lawyers.
  • Collect and organise required information and supporting documentation from clients and applicants.
  • Liaise with immigration lawyers to understand application requirements and next steps.
  • Track application progress, key milestones and deadlines.
  • Coordinate Labour Market Testing requirements, including job advertisements and supporting documentation where applicable.
  • Maintain accurate visa records and monitor upcoming expiry and renewal dates.
  • Communicate application progress and requirements clearly to clients and applicants.
  • Specialist immigration advice is provided by our external immigration professionals. This role focuses on coordination, communication and process management.

Employment Documentation & Administration

  • Collect information required for employment contracts and client agreements.
  • Prepare and coordinate employment documentation using established templates and internal procedures.
  • Assist with Project Agreements, Master Service Agreements and other client documentation.
  • Manage electronic signatures and maintain accurate records.
  • Coordinate with HR and payroll teams to support employee onboarding.
  • Assist with invoices, government charges and third-party service fees where required.

General Operations Support

  • Assist with improving internal processes, systems and workflows.
  • Maintain accurate client and project information.
  • Support the wider ANZPEO team with administrative and operational requirements.
  • Take on additional responsibilities as the business continues to grow.

Skills & Experience

We're more interested in finding the right person with transferable skills than someone with specific industry experience.

  • Demonstrated experience in project coordination, account management, client services, operations or a similar role.
  • Excellent written and verbal English communication skills, with the confidence to communicate professionally with clients and external stakeholders.
  • Strong organisational skills and the ability to manage multiple priorities and deadlines.
  • Exceptional attention to detail, particularly when preparing and reviewing documentation.
  • A proactive approach with the ability to work independently and take ownership of tasks.
  • Strong follow-up skills and a commitment to seeing matters through to completion.
  • Confidence using CRM systems, Microsoft Office and other business software.
  • Ability to learn new processes, systems and industry requirements.

Highly Regarded but Not Essential

  • Experience in professional services, HR, recruitment, legal administration or client account management.
  • Experience coordinating complex administrative or compliance-related processes.
  • Exposure to visa sponsorship, immigration, global mobility or international employment.
  • Experience using HubSpot or similar CRM systems.

What We're Looking For

We're looking for someone who is organised, resourceful and genuinely enjoys managing people, processes and competing priorities.

  • Takes initiative rather than waiting to be told what to do.
  • Enjoys building relationships and communicating with clients.
  • Is comfortable following up and keeping others accountable.
  • Can manage detailed administrative work without losing sight of the bigger picture.
  • Works well independently in a remote environment.
  • Is adaptable, practical and willing to learn.
  • Enjoys working in a small business where responsibilities can evolve.
  • Most importantly, we're looking for someone who takes pride in their work, communicates well and can be trusted to manage their responsibilities from start to finish.

Why Join ANZPEO?

  • Fully remote working arrangement.
  • Flexible working hours for the right candidate.
  • Opportunity to work with international clients across a range of industries.
  • Exposure to global mobility, employment and HR services.
  • Direct involvement in a growing Australian business.
  • A varied role with opportunities to develop new skills and responsibilities.
  • Support and guidance from experienced colleagues and external specialists.

You don't need immigration experience to succeed in this role. If you're an experienced coordinator or account manager who enjoys managing projects, working with clients and keeping processes organised, we'd love to hear from you.
